Booking deposits & no-show fees — Deposits taken at booking, and fees charged only when staff say so
Booking deposits ask for a deposit or a card on file when a customer books, on your payment processor's own secure page. The customer sees your cancellation policy and agrees to it before the booking is confirmed. The deposit is applied to the final bill, and a late-cancel or no-show fee is charged only after a staff member confirms it.

Why it matters
The problem it solves
An empty chair, table or crew slot costs the same as a full one, and the customer who didn't show rarely pays for it. Many owners know a deposit would help but don't want to chase cards over the phone or argue about a policy nobody read.
When deposits live in someone's head or on a paper calendar, they get lost. A regular gets charged a fee they shouldn't, a first-time customer slips through without one, and the front desk ends up defending rules that were never written down.
Example · illustrative
A hair salon booking a color appointment
- Tuesday at 8 pmA new client books a full color for Saturday at 10 am.
- She gets a text with a link to the salon's payment page, reads the cancellation policy and pays the deposit.
- On Friday afternoon she texts that she has to cancel.
- The front desk sees the booking, the policy and her message in one place.
- Since it's her first visit and she gave a day's notice, the manager moves the deposit to a new date instead of keeping it.
How it works
How booking deposits & no-show fees works
- Starts whenA customer books an appointment, table, stay or job online, by phone or by text
- 1Step 1Send the deposit linkThe customer gets a link to the processor's page to pay a deposit or save a card, based on your rules for that service.
- 2Step 2Show the policyYour cancellation and no-show policy is shown in plain words, and the customer agrees to it before paying.
- 3Step 3Confirm the bookingOnce the deposit or card is in, the booking is marked confirmed and the receipt and policy are sent to the customer.
- 4Step 4Apply at checkoutWhen the customer comes in, the deposit is applied to the final bill so nobody has to remember it.
- A person decidesDecide on the feeAfter a late cancel or no-show, staff see the booking and the policy. They decide to charge the fee, waive it or reschedule.
Before · by hand
- Deposits are taken by phone and written on a sticky note.
- Customers say they never saw the cancellation policy.
- Someone forgets to subtract the deposit at checkout.
- No-show fees are charged one week and skipped the next.
With booking deposits & no-show fees
- Every booking that needs a deposit gets the same link.
- Customers agree to the policy before the booking is confirmed.
- Deposits show up on the final bill without anyone looking.
- Fees are charged only after a person reviews each case.

What we build
1Deposit rules
Which services, party sizes or job types need a deposit or a card on file, how much, and which customers are exempt.
2Processor checkout page
A link to your payment processor's own hosted page, so card details go straight to the processor and never pass through the automation.
3Policy and consent record
Shows your cancellation and no-show policy in plain words and stores when and how the customer agreed to it.
4Booking connection
Marks the booking confirmed once the deposit is in, and adds the deposit to the ticket or invoice so it's applied at checkout.
5Fee review queue
Lists late cancels and no-shows with the booking, the policy and any messages, so staff can charge, waive or reschedule in one step.
Your team decides
- Staff decide whether to charge, waive or move every fee.
- The owner sets the policy, the deposit amounts and who is exempt.
- Disputes and refund requests always go to a person.
Industries it fits
What booking deposits & no-show fees looks like in each industry
Salons & barbershops
Long services like color, extensions or a first visit can need a deposit, while regulars keep a card on file. The front desk sees every no-show in one list and decides on the fee.

Getting started
What you need first
We go through these with you in the audit, before anything is built.
Before we start
5 things to have ready- A payment processor that can take deposits or save cards, such as Stripe or Square.
- A booking system or calendar the automation can read and update.
- A written cancellation and no-show policy you're ready to stand behind.
- Your rules on who pays a deposit, how much, and who is exempt.
- A person who reviews late cancels and no-shows and makes the call.
How a rollout runs
- 1Write the policyWe help you put the cancellation and no-show policy in plain words and decide which bookings need a deposit.
- 2Connect the processorWe set up the processor's hosted checkout page and link it to your booking system.
- 3Test with staffStaff book test appointments, cancel them and walk through the fee review, so the steps are clear before customers see them.
- 4Go live on some servicesDeposits start on the services or nights where no-shows hurt most, and the front desk watches every one.
- 5Adjust the rulesWe tune the amounts, exemptions and wording based on customer questions and how the front desk uses the review queue.
What to measure
How to know it's working
Weekly report · booking deposits & no-show fees
IllustrationBookings with a deposit or card on file
Shows whether the rules are being applied to the bookings they should cover.
No-shows and late cancels
Tells you whether deposits change how often people miss bookings.
Deposits applied at checkout
Should match deposits taken. A gap means a booking or ticket isn't connected.
Fees charged versus waived
Shows how staff use the policy, and whether it needs to change.
Disputes and chargebacks
A rise can point to a policy that isn't clear or isn't shown early enough.
Bookings dropped at the deposit step
If many customers stop at the payment page, the amount or wording may need a look.
We measure the baseline before building, so the change can be compared afterwards.
When it’s not a fit
- A deposit can turn away some first-time customers. Start with the bookings where no-shows cost you most.
- It doesn't replace a clear policy. If the policy is vague, fees will lead to arguments and chargebacks.
- Card networks and some states have rules on fees and how they're disclosed. Check yours before charging.
- Walk-ins and phone bookings still need a staff member to send the link.
Tool or custom build
Do you need a custom build?
Option A · a ready-made tool
An off-the-shelf tool may be enough
Square Appointments, Vagaro, Boulevard, Mindbody and OpenTable all take deposits or hold cards at booking. If you already use one and its rules fit, turn it on there first.
Option B · built around your systems
When a custom build is worth it
A custom build makes sense when bookings come in by phone or text, or when the rules differ by service, customer or season. It also fits when the booking system and the payment processor don't talk to each other.

- $750–$1,500

- $15–$75 / month
Fits when your process matches what the platform already does.
Custom build
Built around how you work, with no platform subscription. You own it.
- Build, one timebasic version to full version
- $2,000–$5,000
- Running costshosting and usage, on your accounts
- ~$5–$25 / month
Fits when your systems, rules or exceptions don't match a ready tool.
Optional Automation Care: $125 · $250 · $375 / month
1, 2 or 3 hours of support a month, with monitoring and alerts included. Without it, you run it yourself after handover.
Typically works with Stripe, Square, Vagaro, Boulevard.
Booking into or writing to your field-service, practice or shop software adds up to $500 to the ready-made tool (often a built-in feature) and $500–$1,500 to a custom build.
Your price depends on volume, the systems involved and how many exceptions need a person. Our team confirms a fixed price before any work starts.

Consent and privacy
Card details are entered on the payment processor's own page and stay with the processor. The automation never sees or stores them. The customer's agreement to the policy is saved with the booking. Texts go only to customers who agreed to texts, say they are automated, and accept STOP.
