Meeting notes & follow-ups — Every client meeting ends with notes filed and a follow-up ready to send
Meeting notes and follow-ups take a client call or meeting, recorded with everyone's consent or written up from typed notes, and turn it into a short summary and a list of action items. A draft follow-up email is written from those notes, and everything is filed to the right client, matter or deal. A person reviews the draft, edits it and sends it. The AI writes down what was said, and gives no advice of its own.

Next year's renewal. The client plans to open a second location in spring.

Updated payroll figures and the new lease, by Nov 1.

Thanks for meeting today. To finish the renewal, could you send the two documents below?
Why it matters
The problem it solves
Back-to-back client meetings leave little time to write things down. The follow-up email gets put off, and by the time it's written, details are fuzzy or missing.
When notes live in personal notebooks, the rest of the team can't see what a client was told or what they asked for. Tasks agreed in the room slip, and the client has to repeat themselves on the next call.
Example · illustrative
An insurance agency after a renewal review
- 2 pmAn account manager meets with a small business owner to review a renewal.
- At the start, the owner agrees to the call being recorded.
- Twenty minutes after the callThe account manager has a summary, a list of documents the client still needs to send, and a draft email asking for them.
- The notes are filed to the client's record in the agency system.
- The account manager fixes one date in the draft and sends it before the next meeting.
How it works
How meeting notes & follow-ups works
- Starts whenA client call or meeting ends, with a consented recording or typed notes
- 1Step 1Capture the meetingThe recording or the typed notes are collected. Calls are recorded only after everyone on the call has agreed.
- 2Step 2Write the summaryA short summary is written of what was discussed and decided, using only what was said in the meeting.
- 3Step 3List action itemsEach task is listed with who owes it and any date mentioned, and tasks for your team go to their task list.
- 4Step 4File and draftThe notes are filed to the client, matter or deal record, and a follow-up email is drafted in your tone.
- A person decidesReview and sendThe person who ran the meeting checks the summary and the draft, corrects anything wrong, and sends it.
Before · by hand
- Notes stay in a notebook or someone's head.
- The follow-up email waits until the end of the day, or the next week.
- Action items get lost between the meeting and the task list.
- The client record doesn't show what was agreed.
With meeting notes & follow-ups
- A summary and action items are ready soon after the meeting.
- A draft follow-up is waiting for review.
- Tasks land with the right person on the team.
- The client record holds the notes from every meeting.
What we build

Your systems
- Zoom

- Salesforce
What we build
1Meeting capture
Connects to Zoom, Microsoft Teams or Google Meet for recordings, or takes typed or dictated notes after an in-person meeting.
2Consent step
Asks for and records everyone's agreement before a call is recorded, and falls back to typed notes when anyone says no.
3Summary and action items
An AI step that writes a short summary and a task list from the transcript or notes, sticking to what was said.
4Follow-up draft
Writes a follow-up email from your templates and tone, ready in the sender's drafts folder.
5Record filing
Files the notes and tasks to the right client, matter, deal or donor record in your CRM or practice system.
Your team decides
- The person who ran the meeting reviews and sends every follow-up.
- Professionals give all advice. The AI only records what was said.
- The owner decides which meetings are recorded and how consent is asked.
Industries it fits

Law firms
Consultation and client call notes are filed to the matter in the case system, with tasks for the paralegal. The attorney reviews every follow-up, since the email must not read as advice the attorney didn't give.

Getting started
What you need first
We go through these with you in the audit, before anything is built.
Before we start
5 things to have ready- A video call tool or a way to capture notes, such as Zoom, Microsoft Teams, Google Meet or a phone app.
- A clear consent practice for recording, based on the laws where you and your clients are.
- A CRM, practice system or shared drive where the notes should live.
- Example follow-up emails in your tone, and the details each one should include.
- The people who run meetings, ready to review and send each follow-up.
How a rollout runs
- 1Set the consent rulesWe decide with you when calls can be recorded, how consent is asked for and saved, and when typed notes are used instead.
- 2Shape the notesWe agree on what a summary, task list and follow-up should look like for each kind of meeting.
- 3Connect the toolsWe connect the call tool, the email account and the record system, so notes and drafts land in the right place.
- 4Pilot with a few peopleA few staff use it on real meetings and mark every error in the summaries and drafts.
- 5Roll out and tuneWe adjust the format and wording from the pilot and open it to the rest of the team.
What to measure
How to know it's working
Weekly report · meeting notes & follow-ups
IllustrationTime from meeting to follow-up sent
Shows whether clients hear back sooner after a meeting.
Meetings with notes filed
Tells you whether the client record is actually filling up.
Edits made to drafts
Heavy editing means the summaries or templates need work.
Action items closed on time
Shows whether tasks agreed in meetings are being done.
Recordings without saved consent
Should be none. Any here means the consent step needs fixing.
We measure the baseline before building, so the change can be compared afterwards.
When it’s not a fit
- Recording laws differ by state. Some require everyone on the call to agree, so consent must be asked every time.
- Transcripts can mishear names, numbers and dates. A person has to check them before anything is sent.
- It doesn't fit meetings where clients won't agree to recording and nobody takes notes.
- Some regulated or privileged conversations shouldn't be recorded at all. You decide which ones.
Tool or custom build
Do you need a custom build?
Option A · a ready-made tool
An off-the-shelf tool may be enough
Zoom, Microsoft Teams and Google Meet now offer AI summaries, and tools like Otter.ai and Fireflies.ai take notes on most calls. If a summary in the call tool is all you need, start there.
Option B · built around your systems
When a custom build is worth it
A custom build makes sense when notes must be filed to a specific client or matter record, follow-ups must match your templates, or in-person meetings and phone calls need the same treatment.

Optional Automation Care: $125 · $250 · $375 / month
1, 2 or 3 hours of support a month, with monitoring and alerts included. Without it, you run it yourself after handover.
Typically works with Zoom, Microsoft Teams, Google Meet, Clio.
Booking into or writing to your field-service, practice or shop software adds up to $500 to the ready-made tool (often a built-in feature) and $500–$1,500 to a custom build.
Your price depends on volume, the systems involved and how many exceptions need a person. Our team confirms a fixed price before any work starts.

Consent and privacy
Calls are recorded only after everyone on the call agrees, and that consent is saved with the recording. Several states require every party to agree, so consent is asked every time. Recordings and notes are kept under the same access rules as the client file, and can be deleted on your schedule. Nothing is sent to a client without a person's review.
