Missed-call text-back — Every missed caller gets a text back within a minute

Missed-call text-back sends an automatic text to anyone whose call goes unanswered, usually within a minute. The text offers to book a time, take the details of the job, or have someone call back. It suits any business where the phone rings while people are with a customer, on a roof or under a car.

Why it matters

The problem it solves

Most small businesses can't answer every call. The owner is on a job, the front desk is with a customer, or it's after hours. The call goes to voicemail, and many callers never leave one.

A caller with a leaking pipe or a toothache usually tries the next business on the list within minutes. By the time someone checks voicemail, the job is often gone, and nobody knows it was lost.

In CallRail's analysis of 1.1 million conversations, 28% of calls to legal businesses and 14% of calls to home service businesses were missed.

Example · illustrative

A plumber's afternoon

  1. At 2:10 pm a homeowner calls about a water heater that stopped working.
  2. The plumber is under a sink across town and can't answer.
  3. At 2:11 the homeowner gets a text: "Sorry we missed you.
  4. Is this for a repair?
  5. Reply with your address and what's going on, or pick a time here." She replies with her address and "no hot water".
  6. The office sees the conversation, confirms a 4 pm slot by text, and nobody had to call back.

How it works

How missed-call text-back works

  1. Starts whenA call goes unanswered or to voicemail
  2. 1Step 1Send the textA short text from the business number, within a minute, with a booking link or a question about the job.
  3. 2Step 2Read the replyThe reply is sorted: book a time, answer a question, or flag it as urgent.
  4. 3Step 3Book or hand overRoutine requests are booked into the calendar; anything urgent or unclear goes to a person with the conversation so far.
  5. A person decidesCall back if neededStaff see who was texted, what they said, and who still needs a call.

Before · by hand

  • The call goes to voicemail while the team is busy.
  • Someone checks messages at the end of the day.
  • By then many callers have phoned another business.

With missed-call text-back

  • The caller gets a text before they dial the next number.
  • Simple requests are booked without a callback.
  • Staff call back only the people who need a conversation.

What we build

The parts of missed-call text-back

Your systems

  • Business phone systems (RingCentral, Dialpad, OpenPhone)
  • Twilio
  • Google Calendar
  • ServiceTitan
  • Housecall Pro
  • Jobber

What we build

  1. 1Missed-call trigger

A connection to the phone system that notices an unanswered or voicemail call and starts the text. A short delay keeps late pickups from triggering it.

  2. 2Text templates

The wording for business hours, after hours and weekends, written with the business and approved before launch.

  3. 3Reply handling

Sorts replies into booking, question, urgent or not a customer, and books routine ones from the calendar's open times.

  4. 4Hand-off to staff

Urgent or unclear conversations go to a person by text, email or the team chat, with the conversation so far.

  5. 5Log and daily list

Every missed call, text and reply in one place, plus a short list of who still needs a call.

Your team decides

  • Staff decide what to do with urgent or unusual requests.
  • The business approves the wording of every automatic text.

Industries it fits

What missed-call text-back looks like in each industry

HVAC, plumbing & electrical

Calls come in while technicians are on jobs, often the busiest hours of the day. The text asks for the address and problem and offers the next slot, and no-heat or flooding replies go to the on-call tech.

Getting started

What you need first

We go through these with you in the audit, before anything is built.

Before we start

4 things to have ready
  • A business phone line or provider that can forward missed calls or send call events (most VoIP systems can).
  • A calendar or scheduling system with your open times, if texts should offer bookings.
  • The wording you're comfortable sending, and what counts as urgent for your business.
  • Someone on the team who checks hand-offs during business hours.

How a rollout runs

  1. 1Map the callsWe look at when calls are missed, what callers usually want, and who should handle each kind of request.
  2. 2Connect and writeWe connect the phone system and calendar, and write the texts with you for each time of day.
  3. 3Test with real numbersWe call the line from test phones, after hours and during the day, and check every path ends in the right place.
  4. 4Go live with reviewAt first, staff see every conversation, so wording and rules can be tuned quickly.
  5. 5Tune and extendOnce it's steady, we can add booking, reminders or an AI receptionist on top.

What to measure

How to know it's working

Weekly report · missed-call text-back

Illustration
  • Missed calls per week

The baseline. It shows how many callers would have heard only voicemail.

  • Reply rate to the text

Shows whether the wording and timing work for your callers.

  • Bookings from texted callers

The number that matters most: jobs that would likely have gone elsewhere.

  • Time to a human reply on hand-offs

Urgent requests still need a quick person. This shows whether they get one.

We measure the baseline before building, so the change can be compared afterwards.

When it’s not a fit

  • It's not a replacement for answering the phone. Callers with an emergency may still prefer a voice, which is where an AI receptionist or on-call line fits.
  • If most missed calls are sales calls or spam, the texts add noise. Filtering helps, but check your call mix first.
  • Texts must come from a number customers recognize. Sending from an unknown number lowers replies and can look like spam.

Tool or custom build

Do you need a custom build?

Option A · a ready-made tool

An off-the-shelf tool may be enough

Many phone systems and field-service tools (for example Housecall Pro, Jobber, RingCentral) include a basic missed-call text. It's a good start if you only need one fixed message.

Option B · built around your systems

When a custom build is worth it

A custom build makes sense when replies should book from your calendar or log into your CRM or job system. It also fits when rules differ by time of day or service.

$1,000–$3,000

Fits when your systems, rules or exceptions don't match a ready tool.

Optional Automation Care: $125 · $250 · $375 / month

1, 2 or 3 hours of support a month, with monitoring and alerts included. Without it, you run it yourself after handover.

Typically works with Business phone systems (RingCentral, Dialpad, OpenPhone), Twilio, Google Calendar, ServiceTitan.

Booking into or writing to your field-service, practice or shop software adds up to $500 to the ready-made tool (often a built-in feature) and $500–$1,500 to a custom build.

Your price depends on volume, the systems involved and how many exceptions need a person. Our team confirms a fixed price before any work starts.

FAQ

Questions about missed-call text-back

  • Usually within a minute of the missed call. The delay is set so a call that's picked up on the last ring doesn't trigger a text.

  • In most cases, yes. It connects to the business phone system or a provider like Twilio, so the text comes from the number the customer called.

  • It can send a booking link or offer open times from the calendar. Anything outside the rules goes to a person.

  • Known spam numbers can be filtered out, and replies that aren't customer requests are left for staff to ignore.

  • Yes. Texts can be sent in the language the business chooses, or in two languages, and replies can be handled in either.

  • One text after a missed call is usually welcome, because the caller was trying to reach you. It never sends repeated texts unless the person replies.

  • Yes. It can run all day, only after hours, or only when lines are busy. Pausing it doesn't change your phone number or your voicemail.
