AI reply drafting — Replies drafted from your own answers, sent by a person

Reply drafting writes a first answer to incoming customer emails and messages. It uses the business's own policies, price lists and the customer's record, and leaves the draft for a person to check. Staff edit and send it, so answers stay accurate and sound like the business.

From the booking and guide

Re: Early check-in and parking

Guest asked

Can we check in early, and where can we park a second car?

Draft reply

Check-in is at 4 pm. Early check-in depends on the cleaning schedule. A second car can park in the driveway, on the left.

Flagged

Early check-in isn't confirmed yet. Host to decide.

Edit and send

Not in the guide

Another guest asks about pets. That draft says a person needs to answer, instead of guessing.

Why it matters

The problem it solves

Most customer messages ask things the business has answered many times before. Each answer still means opening the record, checking the policy and typing it out again.

When several people reply, answers drift apart. One person quotes the old return policy, another forgets the warranty terms, and customers notice the difference.

Example · illustrative

A short-term rental host on a Friday

  1. On Friday afternoon a guest emails asking about early check-in and where to park a second car.
  2. The draft pulls the check-in time from the booking and the parking rules from the property guide.
  3. It also notes that early check-in depends on the cleaner's schedule.
  4. The host adds a line saying she'll confirm by noon and sends it.
  5. Another guest asks whether pets are allowed, which isn't in the guide, so that draft says a person needs to answer.

How it works

How AI reply drafting works

  1. Starts whenA customer email, web message or text arrives
  2. 1Step 1Look up contextThe customer's record, open jobs or orders and past messages are pulled in.
  3. 2Step 2Find the answerThe draft draws only on approved sources such as policies, FAQs, hours and price lists.
  4. 3Step 3Write the draftA reply is written in the business's tone and saved as a draft in the inbox.
  5. 4Step 4Flag gapsWhen no approved answer exists, the draft says so instead of guessing.
  6. A person decidesReview and sendA staff member reads it, edits anything and sends it. Nothing goes out without approval.

Before · by hand

  • Staff type the same answers again and again.
  • Answers vary depending on who replies.
  • Every reply starts with looking up the job or order.
  • Messages wait until someone has a free moment.

With AI reply drafting

  • Each message has a draft waiting with the facts filled in.
  • Answers follow the same approved policies.
  • Staff spend their time checking and adding the personal part.
  • Questions with no approved answer are flagged, not made up.

What we build

The parts of AI reply drafting

Your systems

  • Microsoft 365
  • Gmail
  • HubSpot
  • Zendesk
  • Shopify
  • Clio

What we build

  1. 1Context lookup

Pulls the customer's record, open orders or jobs and recent messages from your systems before drafting.

  2. 2Approved answer library

The policies, FAQs, price lists and guides drafts may draw on, and nothing else, kept current by someone on your team.

  3. 3Draft writer

An AI step that writes the reply in your tone and saves it as a draft in the inbox, never as a sent message.

  4. 4Gap flags

When the library doesn't cover a question, the draft says so plainly, so nobody sends a guess.

  5. 5Edit review

The changes staff make before sending are reviewed, so the library and tone rules get better over time.

Your team decides

  • A person reviews and sends every reply.
  • The business decides which sources the drafts may use.
  • Legal, medical and pricing exceptions are written by staff.

Industries it fits

What AI reply drafting looks like in each industry

HVAC, plumbing & electrical

Drafts answer questions about arrival windows, warranty terms and what a service plan covers, using the job record. Price questions beyond the published list are left for the office.

Getting started

What you need first

We go through these with you in the audit, before anything is built.

Before we start

5 things to have ready
  • Written policies, FAQs and price lists the drafts may use, and a person who keeps them current.
  • Access to the inbox and to the systems that hold customer records, orders or jobs.
  • Examples of good past replies, so drafts match your tone.
  • A list of topics that are never drafted, such as legal, medical or pricing exceptions.
  • Staff who review and send drafts as part of their day.

How a rollout runs

  1. 1Gather the answersWe collect your policies and past replies, and list the questions customers ask most.
  2. 2Connect inbox and recordsWe connect the mailbox and the systems with customer details, and set which fields drafts may use.
  3. 3Draft against past emailsWe run drafts on real past messages and compare them with what staff actually sent.
  4. 4Go live as drafts onlyDrafts appear in the inbox for staff to edit and send. Nothing goes out on its own.
  5. 5Fill the gapsQuestions that keep getting flagged become new approved answers, and tone rules are adjusted from staff edits.

What to measure

How to know it's working

Weekly report · AI reply drafting

Illustration
  • Drafts sent with light edits

Shows whether drafts are close to what staff would write.

  • Drafts rewritten or discarded

Points to missing answers, or topics that shouldn't be drafted at all.

  • Questions flagged with no approved answer

A running list of gaps in your written policies, worth filling.

  • Errors caught in review

Each wrong fact in a draft is traced to its source and fixed.

  • Time from message to reply

Shows whether drafts help staff answer sooner.

We measure the baseline before building, so the change can be compared afterwards.

When it’s not a fit

  • It's only as good as your written answers. If policies live in people's heads, writing them down comes first.
  • It's not a fit for messages that mostly need judgment, such as disputes, legal advice or clinical questions.
  • Reviewers can slip into clicking send without reading. Spot checks on sent replies keep the review real.
  • Drafts can sound generic at first. Real past replies help the tone more than any setting.

Tool or custom build

Do you need a custom build?

Option A · a ready-made tool

An off-the-shelf tool may be enough

Gmail with Gemini, Microsoft Copilot in Outlook and help desks like Zendesk can suggest replies. They suit general writing help when answers don't depend on your own records.

Option B · built around your systems

When a custom build is worth it

A custom build makes sense when drafts must pull from your job or order system. It also keeps drafts to approved policies and flags gaps instead of guessing.

Typical ranges as of October 2026. Not a quote.

Ready-made tool, set up by us

An existing platform on your own account, configured for your business.

$25–$100 / month

Fits when your process matches what the platform already does.

Custom build

Built around how you work, with no platform subscription. You own it.

Build, one timebasic version to full version
$2,000–$9,000
Running costshosting and usage, on your accounts
~$10–$40 / month

Fits when your systems, rules or exceptions don't match a ready tool.

Optional Automation Care: $125 · $250 · $375 / month

1, 2 or 3 hours of support a month, with monitoring and alerts included. Without it, you run it yourself after handover.

Typically works with Microsoft 365, Gmail, HubSpot, Zendesk.

Booking into or writing to your field-service, practice or shop software adds up to $500 to the ready-made tool (often a built-in feature) and $500–$1,500 to a custom build.

Your price depends on volume, the systems involved and how many exceptions need a person. Our team confirms a fixed price before any work starts.

FAQ

Questions about AI reply drafting

  • No. Drafts sit in your inbox until a person sends them. Some businesses later allow automatic replies for a few simple questions.

  • Staff catch it in review. Drafts use only approved sources, and when the answer isn't there, the draft says it needs a person.

  • Yes. It's set up with examples of your past replies and your tone, and you can adjust the wording rules.

  • It can draft in the language the customer wrote in, such as Spanish. Someone who reads that language should check it before sending.

  • We use business AI services whose terms say customer data isn't used for training, and we show you which service and terms apply.

  • You update the approved answer, and new drafts use it from then on. Drafts already waiting in the inbox aren't rewritten.

  • You do. The approved answers, prompts and settings belong to the business and can be exported.

  • Yes. Drafting can be paused at any time, and the inbox works as it did before.
