AI receptionist — Calls get answered and booked, even when the office is busy or closed

An AI receptionist, also called an AI answering service, is a voice agent that answers the business phone when staff can't. It can answer common questions, book from the live calendar and take the details of a job. Urgent or unusual calls go to a person with a short summary.

Agent: Thanks for calling. I'm the office's AI assistant, and the team has left for the day. How can I help?

Caller: I'd like to book a first appointment, ideally this week.

Agent: I have Thursday at 10 am or Friday at 2 pm. Which works better?

Caller: Thursday at 10, please.

If it's urgent

The agent says it will pass the call on, and the on-call person gets a text with the caller's number.

Why it matters

The problem it solves

Phones ring at the worst times. The front desk is checking someone in, the owner is on a job, or the office closed an hour ago. Each unanswered call is a person who wanted to book, ask or report a problem.

Voicemail doesn't solve it. Many callers hang up without a message, and the rest wait for a callback that turns into phone tag. A second receptionist or a message-taking service covers some hours, but someone still has to call back and book.

In CallRail's analysis of 1.1 million conversations, 32% of calls to healthcare businesses and 14% of calls to home service businesses were missed.

Example · illustrative

A property management office at night

  1. At 9:40 pm a tenant calls the property management office about water dripping from the ceiling.
  2. The agent answers, says it's an AI assistant, and asks for the unit number and how bad the leak is.
  3. Because leaks are on the urgent list, it rings the on-call maintenance tech and texts them a summary.
  4. At 9:55 another caller asks to see a vacant unit, and the agent books a Thursday showing from the leasing calendar.

How it works

How AI receptionist works

  1. Starts whenA call rings out, comes in after hours, or overflows when every line is busy
  2. 1Step 1Answer and say it's automatedThe agent greets the caller in the business's name and says it is an AI assistant.
  3. 2Step 2Find out what they needIt asks the questions the business chose: new or existing customer, what the problem is, where and how soon.
  4. 3Step 3Book or answerRoutine calls end with a booked slot from the live calendar or an answer from the approved FAQ.
  5. A person decidesPass to a person when askedCallers can ask for a person at any point. If someone is free, the call transfers with the details already taken. If not, the caller picks a callback time, and staff get a written summary. Emergencies go straight to the on-call person.

Before · by hand

  • Calls ring out while staff are with customers.
  • After-hours callers reach voicemail, and many hang up without a message.
  • Someone decodes voicemails and plays phone tag the next morning.

With AI receptionist

  • Calls are answered day or night.
  • Routine bookings land in the calendar with the caller's details.
  • Staff read a short summary of each call instead of a voicemail.
  • Callers who want a person get transferred, or pick a time for a callback.

What we build

The parts of AI receptionist

Your systems

  • Twilio
  • RingCentral
  • Google Calendar
  • Microsoft 365
  • ServiceTitan
  • Housecall Pro

What we build

  1. 1Phone connection

Forwarding from the existing number when calls ring out, come in after hours or overflow, so the number customers know stays the same.

  2. 2Voice agent and script

The greeting, the questions to ask and the answers it may give, written from your services, hours and policies.

  3. 3Calendar booking

A live link to the calendar or scheduling system, with the rules for which jobs fit which slots.

  4. 4Urgent call rules

The list of what counts as an emergency, and who gets the transfer or page for each kind.

  5. 5Person or callback

When a caller asks for a person, the agent checks who is available and transfers the call. When nobody is free, it books a callback time and sends staff the summary.

  6. 6Call log and summaries

A transcript and short summary of every call, sent to staff and saved to the CRM or job system.

Your team decides

  • Staff decide how to handle emergencies, complaints and anything the agent passes over.
  • The business writes and approves what the agent may say and book.

Industries it fits

What AI receptionist looks like in each industry

HVAC, plumbing & electrical

Calls pile up on the first hot or cold days, when the office is already full. The agent asks the address, system type and whether it's no heat or no cooling, then books a window or pages the on-call tech.

Getting started

What you need first

We go through these with you in the audit, before anything is built.

Before we start

5 things to have ready
  • A phone line that can forward calls when they ring out, after hours or when every line is busy.
  • A calendar or scheduling system the agent can read and book into, with clear booking rules.
  • A written list of your services, hours, service area and the answers you're comfortable giving.
  • A decision on what counts as urgent and who takes those calls, including after hours.
  • Someone who reads call summaries each day and fixes a booking when needed.

How a rollout runs

  1. 1Listen to the callsWe review recent calls and voicemails to see what callers ask, when calls go unanswered and which ones are urgent.
  2. 2Write the script and rulesWe write the greeting, questions, approved answers and transfer rules with you, and you sign off on them.
  3. 3Connect phone and calendarWe set up forwarding from your number and link the agent to the calendar with your booking rules.
  4. 4Run test callsWe place test calls for each kind of request, including emergencies, wrong numbers and callers who change their mind.
  5. 5Start with overflowThe agent first takes only after-hours and ring-out calls, and staff read every summary before it takes on more.

What to measure

How to know it's working

Weekly report · AI receptionist

Illustration
  • Calls answered by the agent

Shows how many callers would otherwise have rung out or reached voicemail.

  • Bookings made during the call

Shows how much routine scheduling the agent handles without staff.

  • Calls handed to a person

Too many means the script is too narrow. Too few urgent hand-offs means the rules need a look.

  • Bookings corrected by staff

Shows how often the agent picks the wrong slot or service, so the rules can be fixed.

  • Hang-ups during the greeting

Tells you whether the opening and the AI disclosure work for your callers.

We measure the baseline before building, so the change can be compared afterwards.

When it’s not a fit

  • It works best when most calls follow a few patterns. If every call needs a long technical conversation, a person or a message-taking service may fit better.
  • Booking rules must be clear and written down. If only one person knows which jobs fit which slots, that has to be mapped first.
  • Some callers will ask for a person no matter what. Someone has to take transfers during set hours and return callback requests, or callers will feel stuck with a bot.
  • Call recording and AI disclosure rules differ by state. Check what applies where you operate before recording is turned on.

Tool or custom build

Do you need a custom build?

Option A · a ready-made tool

An off-the-shelf tool may be enough

Services like Smith.ai, Goodcall and Rosie offer AI phone answering with standard booking and message taking. They suit businesses that mainly need calls answered and messages taken.

Option B · built around your systems

When a custom build is worth it

A custom build makes sense when the agent must book from your own job system or hand off to an on-call rotation. It also fits when rules differ by service or location.

Fits when your process matches what the platform already does.

Build, one timebasic version to full version
$2,000–$9,000
Running costshosting and usage, on your accounts
~$25–$100 / month

Fits when your systems, rules or exceptions don't match a ready tool.

Optional Automation Care: $125 · $250 · $375 / month

1, 2 or 3 hours of support a month, with monitoring and alerts included. Without it, you run it yourself after handover.

Typically works with Twilio, RingCentral, Google Calendar, Microsoft 365.

Booking into or writing to your field-service, practice or shop software adds up to $500 to the ready-made tool (often a built-in feature) and $500–$1,500 to a custom build.

Your price depends on volume, the systems involved and how many exceptions need a person. Our team confirms a fixed price before any work starts.

Who does what

The automation does the routine steps. A person makes the call.

  1. 1Answer and say it's automatedAutomated

  3. 3Book or answerAutomated
  4. 4Pass to a person when askedA person

Consent and privacy

The agent says it is automated at the start of each call and never pretends to be a person. Callers can ask for a person at any time: they are transferred when someone is available, or offered a callback. Call recording and AI disclosure laws vary by state, so recording is set up to match where the business operates.

FAQ

Questions about AI receptionist

  • Yes. The agent says it is an AI assistant at the start of the call and never pretends to be a person. Callers mind a bot that hides what it is far more than one that is upfront and lets them reach a person.

  • Every call is logged with a transcript and summary, so staff can check and fix a booking. When the agent isn't sure, it passes the call to a person instead of guessing.

  • Yes, any time they ask. If someone on your team is available, the call transfers along with what the caller already said, so they don't repeat themselves. If nobody is free, the caller picks a time for a callback. Urgent calls go to an on-call phone based on rules you set.

  • Usually, yes. Calls can forward to the agent only when they ring out, after hours or when lines are busy.

  • Mostly a conversation about your services, booking rules and what counts as urgent. We connect the calendar and run test calls before it goes live.

  • Yes. It can greet callers in English and switch to Spanish or another language you choose. Summaries for staff can be written in English.

  • Yes. You choose the hours and conditions it answers in. Calls can go back to voicemail or your staff at any time.

  • Recordings and transcripts are kept in accounts the business controls, and only the staff you choose can open them. If you'd rather not record, the agent can keep a written summary only.
