Document generation — Quotes, letters and contracts filled in from your data, ready to check

Document generation fills your own templates with data that's already in your systems. It can produce quotes, engagement letters, contracts, notices and reports without copy and paste. A person checks the document before it goes out, and it can be sent as a PDF, an email, a text or for e-signature.

Why it matters

The problem it solves

Most businesses make documents by opening an old one, saving a copy and typing over it. It works until an old name, price or date gets left in.

Over time, templates drift. Each person keeps their own version, clauses go out of date, and sent copies end up in email or on someone's desktop. When a client asks what was sent, nobody is sure which version it was.

Example · illustrative

A property manager's renewal season

  1. On April 1 a property manager's system shows three leases ending in June.
  2. A renewal offer is filled for each one from the tenant and unit record, with the new rent and the required notice wording.
  3. One draft is missing the second tenant's name, so it's flagged before review.
  4. The manager reads all three drafts, adds the name and approves them.
  5. Each offer goes out for e-signature, and a copy is saved to the tenant file.

How it works

How document generation works

  1. Starts whenA quote, contract, letter or report is needed for a record
  2. 1Step 1Pick the templateThe right template is chosen by document type, client type, state or language.
  3. 2Step 2Fill it inNames, addresses, line items, dates and terms are pulled from your CRM, order or case system.
  4. 3Step 3Check the detailsMissing fields and totals that don't add up are flagged before anyone sees the draft.
  5. A person decidesReview and approveA person reads the draft, edits anything that needs it, and approves it.
  6. 5Step 5Send and fileThe document goes out as a PDF, email, text or e-signature request, and a copy is saved to the record.

Before · by hand

  • Staff open an old document, save a copy and type over the details.
  • Old names, prices or dates get left in by mistake.
  • Templates drift as people make their own versions.
  • Sent copies are saved in different places, or not at all.

With document generation

  • Every document starts from the current approved template.
  • Details come straight from the record, so they match.
  • Staff check a finished draft instead of building it.
  • A copy is filed with the client or job every time.

What we build

The parts of document generation

Your systems

  • Google Docs
  • Microsoft 365 (Word)
  • DocuSign
  • PandaDoc
  • HubSpot
  • Clio

What we build

  1. 1Template library

Your approved templates in one place, with fields marked, optional sections tied to rules, and a version history.

  2. 2Data connection

Pulls names, line items, dates and terms from your CRM, order, case or property system.

  3. 3Section rules

Adds or leaves out clauses and sections by state, service, client type or language.

  4. 4Draft checks

Flags missing fields, totals that don't add up and leftover placeholder text before review.

  5. 5Review and approval

Sends the finished draft to the right person to edit and approve.

  6. 6Delivery and filing

Sends the document as a PDF, email, text or e-signature request, and saves the final copy to the record.

Your team decides

  • A person reviews and approves every document before it's sent.
  • The business owns the templates and approves any changes to them.
  • Staff handle documents that need custom terms or wording.

Industries it fits

Getting started

What you need first

We go through these with you in the audit, before anything is built.

Before we start

4 things to have ready
  • Your current templates, and a decision on which version of each is the approved one.
  • Access to the system that holds the data, such as your CRM, order, case or property software.
  • Rules for optional sections, such as which clauses apply in which state or for which service.
  • A named approver for each document type, and a decision on who may change templates.

How a rollout runs

  1. 1Pick the documentsWe list the documents you make most often and choose a first few, with their current templates and real sent examples.
  2. 2Mark up the templatesWe mark the fields and optional sections, and map each field to where its data lives.
  3. 3Connect and draftWe connect your systems and produce drafts from real records, side by side with what staff actually sent.
  4. 4Approver sign-offYour approvers check drafts for wording, layout and edge cases, and we fix what they find.
  5. 5Go live and add typesStaff start using it for the first documents, then more document types are added one at a time.

What to measure

How to know it's working

Weekly report · document generation

Illustration
  • Drafts approved without edits

Shows whether templates and data are right, or still need work.

  • Most common edits at review

Points to fields, clauses or wording that should change in the template itself.

  • Drafts flagged for missing data

Usually a sign the source record is incomplete, not the template.

  • Documents made outside the library

Shows whether people still work from saved copies, which is where old details creep back in.

  • Time from request to sent document

Shows whether review has become the bottleneck.

We measure the baseline before building, so the change can be compared afterwards.

When it’s not a fit

  • If every document is written from scratch, like a custom legal brief, templates help little. It fits documents that repeat with changing details.
  • Bad source data makes bad documents. If records are often incomplete, fix data entry first, or most drafts will be flagged.
  • Templates still need an owner. Without one, clauses drift out of date again, just in one place.
  • A generated document hasn't had legal or tax review. A qualified person still checks anything with legal weight.

Tool or custom build

Do you need a custom build?

Option A · a ready-made tool

An off-the-shelf tool may be enough

Tools like PandaDoc, DocuSign's document generation or HubSpot quotes fill templates from one CRM well. They suit businesses whose data and documents live in that one tool.

Option B · built around your systems

When a custom build is worth it

A custom build makes sense when data comes from several systems or sections depend on detailed rules. It also fits when documents must go out by chat or text, not just email.

Optional Automation Care: $125 · $250 · $375 / month

1, 2 or 3 hours of support a month, with monitoring and alerts included. Without it, you run it yourself after handover.

Typically works with Google Docs, Microsoft 365 (Word), DocuSign, PandaDoc.

Booking into or writing to your field-service, practice or shop software adds up to $500 to the ready-made tool (often a built-in feature) and $500–$1,500 to a custom build.

Your price depends on volume, the systems involved and how many exceptions need a person. Our team confirms a fixed price before any work starts.

FAQ

Questions about document generation

  • Yes. We usually start from the templates you already use and mark the fields to fill in.

  • Optional sections can be added or left out by rule, such as by state or service type. Anything unusual goes to a person to edit.

  • Yes. Documents can be sent through DocuSign or a similar tool, and the signed copy is filed back to the record.

  • Yes, if you have templates or approved wording in each language. A person should check translations before they're used.

  • Usually. Most CRMs, case systems and accounting tools let data be read through an API or an export. We check yours on the first call.

  • Only the people you name. Each change is saved with the date and who made it, so you can see which version was sent.

  • Every document is reviewed before sending, and the final copy is filed. If a mistake slips through, you can trace it to the record or template and fix it there.
