Invoicing automation — Invoices drafted from the job record as soon as the work is done

Invoice automation turns a finished job, order or billing period into a draft invoice without retyping. It pulls line items, quantities and rates from the job record and applies the customer's terms. The draft lands in your accounting software for a quick check. It suits businesses where invoices wait until someone has time to type them.

Why it's flagged

The permit fee wasn't in the quote, so the draft waits on the review list next to the permit receipt.

Why it matters

The problem it solves

Invoices usually get typed at the end of the day or the end of the week, by whoever has a spare hour. The details live on paper tickets, in the field app or in someone's memory, so parts and extra labor get left off.

A customer can't pay an invoice they haven't received. When billing falls behind, the owner often finds out at month-end, when cash is short and the pile of unbilled jobs is tall.

Example · illustrative

An electrician's Thursday

  1. At 3:40 pm a technician finishes a panel upgrade and closes the job in the field app.
  2. The job lists the new breakers, the labor hours and a permit fee.
  3. A few minutes later a draft invoice appears in QuickBooks with those lines and the customer's terms.
  4. The permit fee wasn't in the quote, so the draft lands on the office review list.
  5. The office manager checks the permit receipt, approves the draft, and the customer gets it with a payment link before 5 pm.

How it works

How invoicing automation works

  1. Starts whenA job is marked complete, an order is ready, or a billing period closes
  2. 1Step 1Gather the detailsLine items come from the work order: parts used, hours logged and the price agreed in the quote.
  3. 2Step 2Build the draftThe invoice is created in the accounting software with the customer's terms, tax settings and PO number.
  4. 3Step 3Flag anything offA line that differs from the quote, a missing PO or a part with no price puts the draft on a review list.
  5. A person decidesReview and approveThe office checks flagged drafts and approves them. Clean, routine invoices can go straight out if you allow it.
  6. 5Step 5Send and trackThe invoice is emailed with a payment link. Its status updates when the payment is recorded.

Before · by hand

  • Job details sit on paper tickets, in texts or in the field app.
  • Someone retypes them into the accounting software later.
  • Invoices go out days after the work, sometimes missing parts or extras.

With invoicing automation

  • A draft invoice appears as soon as the job is closed.
  • Line items come straight from the job record, not from memory.
  • The office reviews exceptions instead of typing every invoice.

What we build

The parts of invoicing automation

Your systems

  • QuickBooks Online
  • Xero
  • Jobber
  • Housecall Pro
  • ServiceTitan
  • Stripe

What we build

  1. 1Job-complete trigger

A connection to the field app, order system or schedule. It notices when a job closes, an order is ready or a billing period ends.

  2. 2Line item mapping

Rules that turn parts, hours, rates and fees in the job record into the right items, tax codes and classes in your accounting software.

  3. 3Quote comparison

Checks each draft against the original quote or contract and flags new lines, changed prices or missing PO numbers.

  4. 4Review list

One place where the office sees flagged drafts, the reason for each flag and the job record behind it.

  5. 5Sending and status sync

Emails approved invoices with a payment link and updates the job record when the payment posts.

Your team decides

  • The office decides on any invoice that differs from the quote or is missing details.
  • The owner sets pricing, payment terms and customer discounts.

Industries it fits

What invoicing automation looks like in each industry

Glass processing & fabrication

When an order moves to ready, the invoice is drafted with each pane's size, glass type and edge work, then exported to accounting. Remakes and size changes on the order are flagged, so the office decides whether the customer pays for them.

Getting started

What you need first

We go through these with you in the audit, before anything is built.

Before we start

4 things to have ready
  • A record of finished work the automation can read, such as a field app, order system, time tracker or shared spreadsheet.
  • Accounting software with your item list, tax settings and customer terms already set up.
  • Your rules for what counts as a clean invoice and what must wait for review.
  • A person in the office who checks flagged drafts most days.

How a rollout runs

  1. 1Map the job-to-invoice pathWe follow a few recent jobs from close-out to invoice and note where each line item comes from and who fixes errors.
  2. 2Match items and termsWe map job record fields to items, tax codes and customer terms in your accounting software, and agree on the flag rules.
  3. 3Run drafts side by sideDrafts are built for real finished jobs while the office still invoices by hand, and we compare the two line by line.
  4. 4Go live with review onDrafts go live, but every one waits for approval. The office tells us which flags help and which are noise.
  5. 5Allow auto-sendOnce drafts match what the office would have sent, clean routine invoices can go out without a manual check, if you choose.

What to measure

How to know it's working

Weekly report · invoicing automation

Illustration
  • Time from job close to invoice sent

The main thing this changes. It shows whether billing keeps up with the work.

  • Share of drafts flagged for review

A high share points to gaps in the job records or the rules. It should fall as both improve.

  • Lines added or changed during review

Shows where the job record is missing details, such as parts or extra labor.

  • Finished jobs not yet invoiced

The list this automation is meant to keep short and current.

  • Invoices corrected or reissued

Fewer corrections means the draft matched what the customer expected.

We measure the baseline before building, so the change can be compared afterwards.

When it’s not a fit

  • If job details aren't recorded anywhere digital, there's nothing to build from. Fix the job record first, even if it's a simple form.
  • A messy item list in the accounting software leads to messy drafts. Clean up duplicate or vague items before launch.
  • Jobs priced by judgment after the work is done still need a person to set the price.
  • The common mistake is letting invoices send on their own too early. Keep review on until the drafts are reliably right.

Tool or custom build

Do you need a custom build?

Option A · a ready-made tool

An off-the-shelf tool may be enough

Field service tools like Jobber and Housecall Pro turn a finished job into an invoice, and QuickBooks Online handles recurring invoices. If your jobs and billing already live in one of these, start there.

Option B · built around your systems

When a custom build is worth it

A custom build makes sense when job records live outside your accounting software, such as in production software or spreadsheets. It also fits when you need quote checks, progress billing or PO rules that built-in tools don't cover.

Fits when your systems, rules or exceptions don't match a ready tool.

Optional Automation Care: $125 · $250 · $375 / month

1, 2 or 3 hours of support a month, with monitoring and alerts included. Without it, you run it yourself after handover.

Typically works with QuickBooks Online, Xero, Jobber, Housecall Pro.

Booking into or writing to your field-service, practice or shop software adds up to $500 to the ready-made tool (often a built-in feature) and $500–$1,500 to a custom build.

Your price depends on volume, the systems involved and how many exceptions need a person. Our team confirms a fixed price before any work starts.
