Multi-supplier stock lookup — One search across every supplier you buy from

Multi-supplier lookup runs one search across the suppliers a business buys from, plus its own stock. Staff see who has the part, at what cost and how soon, in one list. It suits shops and distributors who phone or log into several supplier portals for every quote.

Why it matters

The problem it solves

Every quote starts with the same routine: open a supplier portal, search, write down the price, then try the next one. With several suppliers, one part can mean several logins, a notepad and a callback.

While staff search, the customer waits on hold or calls another shop. Stock already on the business's own shelf is easy to miss, so it gets ordered again while the same item sits in the back.

Example · illustrative

A dealership parts counter on a Tuesday

  1. At 10:05 am a body shop calls for a front bumper cover by part number.
  2. The parts clerk types the number once.
  3. The screen shows one in the dealership's own stock and two at the OEM warehouse for next-day delivery.
  4. An aftermarket option sits at a regional distributor.
  5. The clerk quotes the in-stock one while the caller is still on the line and adds it to the order.

How it works

How multi-supplier stock lookup works

  1. Starts whenA staff member or a customer request names a part, size or product
  2. 1Step 1Read the requestThe part number, size or description comes from the search box, an email or a web form.
  3. 2Step 2Search every sourceEach supplier's portal or feed and the business's own inventory are checked at the same time.
  4. 3Step 3Line up the resultsResults show availability, cost, delivery timing and the selling price with the business's markup.
  5. A person decidesPick and orderStaff choose the supplier and option. Where the supplier allows it, the order is placed from the same screen.

Before · by hand

  • Staff log into each supplier portal one by one.
  • Prices and stock are copied into a note or spreadsheet.
  • The customer waits on hold or gets a callback later.
  • Stock already on the shelf gets missed, so the business orders what it has.

With multi-supplier stock lookup

  • One search shows every supplier and the shelf together.
  • Staff can quote while the customer is still on the line.
  • Own stock shows first, so it sells before new stock is ordered.
  • The chosen option goes straight into the quote or order.

What we build

The parts of multi-supplier stock lookup

Your systems

  • Tekmetric
  • Shopmonkey
  • ServiceTitan
  • QuickBooks Online
  • NetSuite
  • Airtable

What we build

  1. 1Supplier connectors

One connection per supplier: an API where it exists, otherwise a price file, B2B portal or order email, each using your own account.

  2. 2Own-stock search

A link to your inventory or shop system, so your shelf, bins or used stock show first in every result.

  3. 3Part matching

Rules that match part numbers, sizes and cross-references across suppliers, so the same item from different sources lines up on one row.

  4. 4Pricing rules

Your markup by supplier, category or customer type, so each result shows cost and selling price side by side.

  5. 5Order hand-off

Sends the chosen option into the quote, repair order or supplier order after a staff member confirms it.

Your team decides

  • Staff choose the supplier; the search only lines up the options.
  • The business sets its markup rules and preferred suppliers.

Industries it fits

What multi-supplier stock lookup looks like in each industry

Auto repair & tire shops

A tire size returns stock at each tire distributor and the shop's used-tire rack, with cost and delivery day. The advisor quotes while the customer is at the counter, and the chosen tire goes onto the repair order.

Getting started

What you need first

We go through these with you in the audit, before anything is built.

Before we start

4 things to have ready
  • An account with each supplier you want searched, and their permission where their terms require it for automated access.
  • Your own inventory in a system or spreadsheet we can read, with part numbers or sizes.
  • Your markup rules and any preferred suppliers or brands.
  • A decision on who can place orders from the results, and up to what amount.

How a rollout runs

  1. 1Check each supplierWe look at what each supplier offers, such as an API, price file, portal or order email, and pick the most reliable route.
  2. 2Map part numbersWe line up how each supplier names and numbers parts against your own system, including cross-references and sizes.
  3. 3Build search and pricingWe connect the sources, apply your markups, and set the order in which results appear.
  4. 4Test with past quotesWe run part numbers from recent real quotes and compare the results with what staff found by hand.
  5. 5Go live, then add orderingStaff use it for quotes first. Ordering from the screen is turned on supplier by supplier once results are trusted.

What to measure

How to know it's working

Weekly report · multi-supplier stock lookup

Illustration
  • Quotes given on the first call

Shows whether staff can answer while the customer is still on the line.

  • Searches with no result

Points to a missing supplier, a mapping gap or a part type the search doesn't cover yet.

  • Sales filled from own stock

Shows whether shelf stock sells before new stock is ordered.

  • Supplier data freshness

How old each supplier's last update is. Stale feeds lead to quotes the supplier can't fill.

  • Orders cancelled for no stock

Orders that fail after the quote show which supplier's stock data can't be relied on.

We measure the baseline before building, so the change can be compared afterwards.

When it’s not a fit

  • It's only as current as each supplier's data. A supplier that sends a daily file can show stock that sold that morning.
  • Some supplier terms don't allow automated portal access. We check each one, and some may need a price file or a phone call instead.
  • If you buy from one or two suppliers, logging in directly may be simpler than a combined search.
  • Part matching needs care. Without shared part numbers, sizes or cross-references, the same item can appear as separate results.

Tool or custom build

Do you need a custom build?

Option A · a ready-made tool

An off-the-shelf tool may be enough

Many shop systems include parts catalogs. Tekmetric and Shopmonkey connect to ordering tools like PartsTech, and supply houses run their own portals. These fit well when your suppliers are already in the catalog.

Option B · built around your systems

When a custom build is worth it

A custom build makes sense when your suppliers aren't in those catalogs. It also fits when your own used or bulk stock must show alongside, or results must follow your markups.

$2,250–$10,000

~$5–$25 / month

Fits when your systems, rules or exceptions don't match a ready tool.

Optional Automation Care: $125 · $250 · $375 / month

1, 2 or 3 hours of support a month, with monitoring and alerts included. Without it, you run it yourself after handover.

Typically works with Tekmetric, Shopmonkey, ServiceTitan, QuickBooks Online.

Booking into or writing to your field-service, practice or shop software adds up to $500 to the ready-made tool (often a built-in feature) and $500–$1,500 to a custom build.

Your price depends on volume, the systems involved and how many exceptions need a person. Our team confirms a fixed price before any work starts.

FAQ

Questions about multi-supplier stock lookup

  • Many offer a B2B portal, a price file or an order email instead. We check each supplier and use the most reliable option it offers.

  • As live as the supplier allows. Some update in real time and others send a file on a schedule, and the results show how fresh each one is.

  • Yes. It uses your accounts, so it shows your negotiated costs rather than list price.

  • It can power a customer search that shows availability and your selling price, without showing supplier names or costs.

  • Where a supplier accepts online orders, yes, after a staff member confirms it.

  • You choose by role. Counter staff can see cost and price, while a customer-facing search shows only your selling price.

  • That connection may stop working. The failure is flagged right away, results mark that supplier as unavailable, and the connection is updated.

  • Yes. Each supplier is a separate connection, so one can be added or turned off without changing the rest.
