Instant lead response — Reply to every new lead in minutes, not tomorrow morning

Instant lead response replies to a new inquiry as soon as it arrives from a web form, lead ad or lead site. The reply fits the request, asks the next useful question and offers a time to talk. It suits businesses whose leads contact several providers at once.

Why it matters

The problem it solves

Leads from forms, ads and lead sites arrive all day, but someone has to notice them. They land in a shared inbox, a lead site's app or a phone alert that gets swiped away.

Many people who fill out a form send the same request to several businesses. The one that replies first with something useful often gets the conversation. A reply the next morning tends to reach someone who has already booked elsewhere.

Clio's Legal Trends Report found only 40% of law firms responded to a client email. More than half of firms didn't respond to voicemails within 72 hours.

  1. 7:30 pm on SundayA homeowner fills out the website form about a bathroom remodel.
  2. A few minutes later she gets a text that names the bathroom project and asks for photos and a rough timeline.
  3. She sends three photos and says she hopes to start in spring.
  4. The reply offers two estimate visit times, and she picks Wednesday at 10 am.
  5. On Monday the owner opens the CRM and finds the lead, the photos and the booked visit together.

Before · by hand

  • Form submissions sit in an inbox until someone checks it.
  • Leads from different sites land in different places.
  • The first reply often comes after the customer has hired someone else.

With instant lead response

  • Every lead gets a reply while they're still looking.
  • Leads from every source end up in one list.
  • Staff pick up warm conversations, not cold names.

What we build

The parts of instant lead response

Your systems

  • HubSpot
  • Salesforce
  • Twilio
  • Calendly
  • Facebook Lead Ads
  • Clio Grow

What we build

  1. 1Lead source connections

Links to web forms, lead ads, lead sites and lead notification emails, so each new inquiry is picked up as it arrives.

  2. 2Replies by request type

Approved replies for each service, listing or case type, filled in with the details the lead gave.

  3. 3Follow-up questions

The one or two questions that make the first conversation useful, such as address, timeline or case type.

  4. 4Booking offer

Open times or a booking link that match the request type and the right person's calendar.

  5. 5CRM record and alert

Each lead, its source and the full reply thread saved to the CRM, with an alert to the owner or salesperson.

Your team decides

  • Staff decide which leads to call personally and what to quote.
  • The business approves the reply wording and the questions asked.

What instant lead response looks like in each industry

Law firms

Consultation requests come in through the website and directories, often at night. The reply asks the case type and any upcoming court date, with a link to book.

Getting started

What you need first

We go through these with you in the audit, before anything is built.

Before we start

5 things to have ready
  • Access to every lead source: form tools, ad accounts, lead site logins or the emails they send.
  • A CRM or shared list where every lead should end up, even a simple one.
  • The reply wording and follow-up questions for each type of request.
  • Calendars or booking links for the people who take first calls.
  • A person who owns new leads during business hours and steps in when a reply needs a human.

How a rollout runs

  1. 1List the lead sourcesWe find every place leads come from today and where each one currently lands.
  2. 2Write replies by request typeWe draft a reply and follow-up questions for each service, listing or case type, and you approve them.
  3. 3Connect sources to the CRMWe route each source into the CRM with the source tagged, and link the booking calendars.
  4. 4Test every sourceWe submit test leads through each form, ad and lead site, and check the reply, booking offer and alert for each.
  5. 5Go live and read threadsStaff read the reply threads at first to adjust wording, and new sources are added as they come up.

What to measure

How to know it's working

Weekly report · instant lead response

Illustration
  • Time from lead to first reply

The reason the system exists. It should stay short for every source, day or night.

  • Reply rate by lead source

Shows which sources send people who actually engage.

  • Bookings from new leads

Shows whether the first reply moves people to a next step.

  • Leads with no owner

Any lead left unassigned means a routing or alert rule needs fixing.

  • Hand-offs to staff

Shows which questions the replies can't cover yet.

We measure the baseline before building, so the change can be compared afterwards.

When it’s not a fit

  • If leads arrive only a few times a month, a phone alert to the owner may be enough.
  • Some lead sites limit how you may contact their leads or hide phone numbers. Check each source's terms before building on it.
  • A fast reply doesn't help if nobody follows up after it. A person still has to own each lead.
  • Generic replies read like spam. The reply must name what the person asked about, or it can do more harm than good.

Tool or custom build

Do you need a custom build?

Option A · a ready-made tool

An off-the-shelf tool may be enough

CRMs like HubSpot and Follow Up Boss, and messaging tools like Podium, can send an automatic reply to new leads. They work well when leads come from a few sources that already connect to them.

Option B · built around your systems

When a custom build is worth it

A custom build makes sense when leads come from many sources or replies must differ by service or location. It also fits when the next step depends on your own calendar rules.

Fits when your process matches what the platform already does.

Custom build

Build, one timebasic version to full version
$2,000–$5,000
Running costshosting and usage, on your accounts
~$25–$100 / month

Fits when your systems, rules or exceptions don't match a ready tool.

Optional Automation Care: $125 · $250 · $375 / month

1, 2 or 3 hours of support a month, with monitoring and alerts included. Without it, you run it yourself after handover.

Typically works with HubSpot, Salesforce, Twilio, Calendly.

Booking into or writing to your field-service, practice or shop software adds up to $500 to the ready-made tool (often a built-in feature) and $500–$1,500 to a custom build.

Your price depends on volume, the systems involved and how many exceptions need a person. Our team confirms a fixed price before any work starts.

FAQ

Questions about instant lead response

  • Most web forms, Facebook and Google lead ads, lead sites and lead notification emails. If a source can send an email or a webhook, it can usually be connected.

  • It uses the details the lead gave, like the service and location, in your wording. You approve the messages before anything goes out.

  • It hands the conversation to a person with everything said so far. It doesn't make up prices or promises.

  • No. It writes leads and replies into the CRM you already use, such as HubSpot, Salesforce or Clio Grow.

  • Yes. Replies can match the language of the form or the lead's message. Staff can read the thread with a translation if needed.

  • It checks the CRM for an existing record and adds the new request to it. The person doesn't get two replies or two salespeople.

  • You do. Leads are stored in your own CRM and accounts, and you decide who on the team can see them.
